How DeskTime monitoring works

DeskTime automatically builds a timeline from computer use and categorizes applications and websites as productive, neutral, or unproductive. The My DeskTime view can show active time, time at work, productive time, productivity, effectiveness, projects, idle periods, and detailed app or URL entries.

When screenshot capture is enabled, administrators can see thumbnails with a timestamp, program name, and productivity classification. Export tools can also separate idle time and provide the start and end of those periods.

DeskTime's reports are centered on how time is distributed across applications, websites, categories, projects, and inactivity. That context means the question is not only whether the pointer moved, but what the recorded time represents.

What DeskTime can record

Active and idle time

The daily timeline can show active, idle, offline, private, deleted, calendar, and manually added time. The default idle threshold is more than three minutes and can be increased by the account administrator.

Applications and URLs

Reports can list applications, websites, URLs, window titles, timestamps, and time spent in each tracked item.

Productivity categories

Apps and sites can be productive, neutral, or unproductive. Productivity is Productive Time divided by DeskTime Time; Effectiveness compares Productive Time with the configured minimum work hours.

Screenshots

If enabled, captures appear with time, application, and productivity classification. DeskTime also marks suspicious screenshots when an unproductive application is visible in the background.

Projects and schedules

Project tracking, shifts, minimum hours, arrivals, departures, and manual or offline time add workflow and attendance context. Shift reports compare scheduled with actual times, idle time, productivity, and effectiveness.

The Productivity Bar breaks a day into five-minute segments, while reports can compare members, dates, extra hours, projects, and detailed project time beyond the daily app list.

Settings and controls that change the record

The product name alone does not tell you exactly what is being collected. Plan, administrator or client settings, app version, device, and employee permissions can all change what appears.

Administrators can choose randomized 3-, 5-, 10-, 15-, or 30-minute intervals at the account, team, or employee level. They can also adjust image quality, blur, and employee visibility.

Screenshot visibility and deletion depend on permissions. When an image is deleted, DeskTime retains the timestamp and associated application-name record rather than removing the complete event from the timeline.

Private Time stops apps, URLs, and screenshots

While Private Time is active, DeskTime stops application, website, and screenshot collection. Administrators can disable Private Time or prevent employees from editing the resulting interval.

An organization can allow employees to add offline categories, turn the feature off, or require approval. Offline entries are therefore a separate configured record rather than ordinary computer activity.

Productivity labels can differ by team

The same application or website can be Productive for one team and Neutral or Unproductive for another. Those labels directly change productivity, effectiveness, and report comparisons.

Reports and monitoring depth depend on the account

Screenshots, projects, schedules, offline approval, detailed URLs, and advanced comparisons depend on plan and configuration, so an employee's My DeskTime page may not match a manager's complete reporting view.

Can you trick DeskTime with a mouse jiggler?

A mouse mover may keep the operating system from becoming idle in some setups, but it cannot make an Unproductive application Productive, change a screenshot, create a varied URL history, or alter the projects, shifts, and five-minute productivity segments around that input.
